Box 1179 Rutgers University Piscataway, NJ 08855 INFORMATION GUIDE The following provides preliminary information which we hope will make your stay more pleasant. For more information about any of the matters discussed here, to receive travel expense forms, instructions for use of telephone or computers, keys, etc., please contact the DIMACS office. Payments to Visitors Visitors to DIMACS either come on their own funds or receive some funds from DIMACS. The payments to visitor consist of either stipends or travel reimbursements. On occasion, visitors might receive additional compensation for teaching in one of the affiliated DIMACS departments. Stipends: If you are being paid a stipend, and you are a short-term visitor, you will usually receive a check after your visit. In a few cases, we can make arrangements in advance to have at least some funds available to you within a day or two of your arrival. For this to be arranged, you must see the DIMACS Business Manager. Travel Reimbursements: If you are being paid a travel reimbursement, you will need to obtain travel reimbursement forms from the DIMACS Business Manager or from the organizer of the workshop or conference that you are attending. They should be returned to DIMACS after your trip, together with original receipts for airfare, lodging, and meals. Lodging If you are attending a DIMACS workshop or conference, there will usually be information supplied about lodging. Other visitors to DIMACS can make lodging arrangements at a local hotel through our Visitor Coordinator. There occasionally are university apartments available for short-term use. The Visitor Coordinator will be happy to help you with any questions about lodging. Health Care Full-time Postdoctoral fellows and full-time graduate students will be provided with health care coverage. Depending on the circumstances, full-time faculty may or may not receive health care coverage. Arrangements should be made with the DIMACS Business Manager. Other visitors to DIMACS, especially foreign visitors, are reminded that it is a good idea to have their own health insurance. -2- Publications and Acknowledgements Technical Reports: All visitors to DIMACS are urged to publish in the DIMACS technical report series all papers which result from their visits to DIMACS. Publication of a paper in this series in no way affects the authors' rights to publish it in other technical reports series at their home institutions or to publish it in the open literature. DIMACS will provide typing help for visitors who wish to prepare papers for its report series, will give the technical reports widespread circulation, and will provide authors with a certain number of free copies. Proceedings: Most DIMACS Workshops or Conferences aim to have some sort of conference proceedings. These will normally appear in the DIMACS Series, which are published by the American Mathematical Society. Guidelines for preparation of proceedings and information on content and purchase of volumes can be obtained on the DIMACS Information Service or through the Publications Coordinator. Abstracts: All visitors to DIMACS are asked to leave an abstract of research discussed during their visit. This can be an abstract of a talk that they have given or an abstract of a paper they have drafted, or simply the statement of one or two open problems they have discussed. A one or two paragraph abstract will suffice, though longer documents are gladly accepted. This should be submitted through the Administration Office. A collection of visitors abstracts are assembled and available for review in the Administration Office. Acknowledgements: All visitors and permanent members of DIMACS are asked to acknowledge the support of DIMACS when they publish papers either in technical report series or in the open literature. This acknowledgement should state: "Supported in part by DIMACS (NSF-STC-91-19999)" Copies of all papers which appear in the open literature and result from DIMACS support should be sent to the DIMACS office. We appreciate your help in these matters, which will assist us in reporting the accomplishments of DIMACS and in turn in securing funds for future DIMACS activities. Center Services Center Office Hours: The offices are generally open from 8:30-4:30 on weekdays. Holidays are posted in main office. The mail facilities are available during regular office hours. Office Space: DIMACS tries to provide office space to all visitors except those who are here for workshops or conferences or seminars. Because space will be very limited during the early days of DIMACS, office space will sometimes have to be shared. We apologize for any inconvenience this might cause. Please remember to return your key before you leave. Secretarial Services: DIMACS, through the American Mathematical Society will assist authors of papers for our Proceedings volumes with technical typing. DIMACS will also provide assistance to our longer-term visitors with correspondence and, to the extent possible, will also provide such assistance to our short-term visitors. Computing: To the extent possible, all visitors to DIMACS will have a terminal in their office which will connect them to a mainframe computer at the institution they are visiting and will also allow them access to electronic mail. When this is not possible, visitors will be given access to such terminals. For information about how to use the terminal in your office, or how to get access to a terminal, and for information on how to log on, please talk with the DIMACS Computing Facilities Manager. Available on Line: a.) DIMACS Info Service: Typing "dimacs-info" at the login prompt accesses a listing of a variety of DIMACS Information including Calendar of Events, Directory of members, information on workshops, visitors, tech. reports, etc. b.) templates for DIMACS letterhead for use in doing correspondence Mail: Incoming mail is distributed once a day as soon as possible after its arrival in the morning; pick up in Mailroom (Rm 118). Your mailing address is: DIMACS Center, P.O. Box 1179, Rutgers University, Piscataway, NJ 08855-1179. - Outgoing mail is posted by machine in Room 118. Leave mail in appropriate box for posting. Please have your name and return address on each envelope. Personal mail should be stamped by you. Telephones: See the DIMACS office for information about the use of telephones in your office. Some allowance is made for telephone charges. Please talk with the DIMACS Business Manager for defined limits. To dial an extension within Rutgers: Dial 2, then the 4-digit extension To dial a local or long-distance number outside Rutgers: Dial 9, then the 7-digit number (use 1+ area code for long distance). To reach an outside operator for assistance - Dial 9, then 0; for outside information - Dial 9, then 411 To reach CAMDEN campus - Dial 121 - (dial tone) - dial extension To reach NEWARK campus - Dial 122 - (dial tone) - dial extension To transfer either on-campus or incoming calls - Depress switchhook gently (button where handset rests on phone) Wait for recall dial tone (3 short beeps & steady dial tone) - this puts caller on hold and he cannot hear you (or you him) until (a), (b), or (c) Dial 2, plus desired extension number. When extension rings, you can either: a) depress switchhook once lightly to reconnect caller (and hang up when phone is answered) b) wait for phone to be answered, explain who is calling and what he/she wants, then depress switchhook to reconnect caller (and hang up when contact has been established). c) wait for phone to be answered, depress switchhook to reconnect caller and stay on line for a conference call (3 parties). During 3-way conference calls, any one of the 3 parties can hang up and remaining two can continue conversation. If extension is busy or no one answers (or you misdialed) depress switchhook gently to disconnect that ring; again to reconnect caller; then again to begin transfer from beginning. Libraries: General: Visitors to DIMACS will receive access to the library at the institution at which they are based. Access to libraries at other DIMACS institutions can be arranged through the DIMACS office. The Mathematical Sciences library is located on the first floor of Hill Center near the hi-rise elevators. It operates under the University Library system and posts its own hours of operation, which may vary on holidays, weekends, exam weeks, etc. No keys are given out for the Library - you must use it during normal hours of operation. Note: Some journals and other reference materials are not allowed to leave the library. If you need to make a copy, a "Copy Card" is required to operate the library machine. Ask our Businness Manager for temporary use of a card. (BE SURE NOT TO LEAVE CARD IN MACHINE WHEN YOU'RE FINISHED. THEY CAN BE USED BY ANYONE!!!) Photocopying: Visitors to DIMACS will be provided reasonable photocopying privileges. Larger jobs should be arranged in advance. University Services Recreational facilities: Visitors to DIMACS on the Princeton or Rutgers campuses can arrange access to university recreational facilities such as swimming pools, gymnasiums, and tennis courts. Parking and Car Registration: Arrangements for parking at the different DIMACS locations should be made through the DIMACS office. Campus Eating Facilities: Cafeterias for faculty and staff are located on: Busch Campus: Davidson Dining Hall, Medical School, Mental Health Center College Ave. Campus: The Commons Douglass/Cook Campuses: Cooper Dining Hall, College Center, Food Science Building, Student Center Livingston Campus: Tillet Hall Student Centers: Located on each campus...contain various quick-food establishments (such as Wendy's hamburgers, pizza, and a deli in the Busch Center). Campus Bus Service: The University offers free campus bus service during the academic year, with limited service during exams and the summer months. A schedule is included in this kit. Maps: Various maps of University campuses, as well as local maps of the area are included at the end of this booklet. Miscellaneous It is the goal of DIMACS to make your visit an extremely pleasant and successful experience. If we can help in any way, either before your visit (for example, with obtaining visas or advising you on how to get from the airport to where you are going), or during your visit (for example, in telling you where to have lunch), please do not hesitate to ask anyone on the DIMACS staff to help. It is usually best to start with the office. If your question cannot be answered, the office will know where to direct you.
